Logistics for Sponsors

Sponsors, please contact Monique at mellefson@ccforiowa.org if you have any questions or concerns.

Booth Specifics

  • All exhibitors are located in the Des Moines Exhibit Hall on the 3rd Floor of the Marriott
  • Exhibitors will be assigned to a specific spot - the information will be shared with you at least 2 weeks before the event
  • Tables are 8' banquet tables, normal size
  • 2 chairs will be provided
  • If you need electricity, let Monique know

Shipping Items

  • To mail items to the Marriott beforehand, let Monique know and she will connect you with the Marriott contact
  • Items can only be shipped 3 days prior to the event: Friday, November 29
  • Address items accordingly:

Set-up & Tear-Down

  • Set-up begins at 9 am on Tuesday, December 3
  • Booths ready no later than 3 pm on Tuesday, December 3
  • Tear down can begin at 4 pm on Wednesday, December 4 (if you would like)
  • All sponsors must be out of the Des Moines Exhibit Hall by 12 pm on Thursday, December 5
  • Three tradeshow breaks are scheduled for all attendees on Wednesday, December 4
  • Attendees will have a sponsor activity to complete and encourage interaction with all sponsors

Attendee Interaction

  • The Opening Reception on Tuesday, December 3 will begin at 4 pm and sponsors are encouraged to interact with attendees here
    • food and drinks will be available in the Des Moines Exhibit Hall
  • There are three set tradeshow breaks for all attendees on Wednesday, December 4
  • There will be a sponsor activity for all attendees to complete to encourage interaction
  • There will be a special activity called "Secret Snowflake," which will be explained via email
  • Attendee lists will ONLY be shared with Silver and Platinum sponsors; if you would like to upgrade your sponsorship, let Monique know

Booth Prize Giveaways

  • This year, we’re doing something special with our sponsor giveaways. To build excitement and maximize engagement, we will be coordinating the announcement of all booth prizes as well as our own prizes to attendees during the Closing Brunch on Thursday, December 5.
  • Prize Winner Notification: Please plan to email me the name, community college affiliation, and contact information of your prize winner no later than 8:00 AM on Thursday, December 5. This will allow me to include your prize in the announcements without any last-minute issues.
  • Optional Participation: If you would like to be present as we announce your prize during the Closing Brunch, you are more than welcome to join us. This will give you an additional opportunity to connect with attendees and acknowledge the winner of your prize.
  • Please provide any additional details or unique instructions related to the prize (e.g., specific claiming requirements, eligibility restrictions) so we can inform the winner accordingly.
